The Invisible Workload of Women in Business

Woman at her desk surrounded by post it nots, diary open looking overwhelmed at your invisible workload

Running a business often means wearing every hat. And for many women, running a household means wearing every hat there too. Very often, those hats come with an overwhelming ‘invisible workload’ that can quietly catch us out.

There are the obvious ‘visible’ tasks which include:

Replying to emails.

Managing clients, children, or both.

Keeping up with business admin and life admin.

Following up invoices and checking cash flow.

Making, remembering and attending appointments.

Answering messages, group chats or emails late at night.

However, for many women in business, that workload doesn’t stop there.

Because alongside the visible work sits the ‘invisible workload’ too. The mental list that never fully switches off.

The one constantly running in the background:

What needs doing.

Have you forgotten something.

Who and what needs chasing.

Tomorrow – what do I need to remember.

Even during the “quiet” moments, the mental tabs are still open.

When the Invisible Workload Overwhelm Becomes 'The Norm'

The difficult part about both the visible and invisible workload is that this way of working can slowly become ‘your normal’.

Many women get so used to juggling everything that they stop recognising just how much they’re carrying. Because when you’re capable, organised and used to figuring things out, it’s easy to convince yourself that you should be able to manage it all and that this is simply an ordinary part of life. Does this sound familiar?

So the late nights continue.
The mental checklists grow.
The admin gets pushed back.
And ‘I’ll sort that tomorrow’ becomes part of everyday life.

The truth is, the issue often isn’t time management or motivation.

It’s capacity.

There are simply too many tabs open at once, mentally, emotionally and physically.

Most of us have heard that phrase before ‘There are too many tabs open.’

Maybe you’ve heard friends or family say it.
Maybe you’ve said it yourself.

Because eventually, constantly carrying everything starts to impact more than just your workload.

It affects your focus.
Your energy.
Your ability to switch off.
And sometimes, even the enjoyment of the business you worked so hard to build is lost.

Signs You Might Need More Support In Your Life

Sometimes, the signs you need support are easier to spot in your day-to-day habits than in how you feel.

  • Your inbox feels never-ending

You reply to one email and five more appear. Important messages get flagged to ‘deal with later’ but later rarely comes.

  • Admin is being completed during evenings and weekends

Work spills into personal time because there simply aren’t enough hours in the day for both work admin and life admin.

  • The small tasks are being forgotten about

Follow-ups, appointments, invoices, forms, reminders.

Nothing major individually, but together they create constant mental clutter.

  • You’re spending more time organising work and family rather than actually doing it or being in it.

Managing diaries – work, family, even the kids’ schedules can sometimes feel like a full time job on its own.

Emails, documents and scheduling can quietly start taking over the time you wanted to spend growing your business, being present with your family or simply switching off.

  • Switching off properly is not on the agenda

Even when you’re technically finished working, your brain is still running through what needs doing tomorrow.

Invoicing. Bookkeeping. Admin tasks. Appointments. Things the family needs and ‘other stuff’ you need to remember.

The mental tabs never fully close.

You avoid certain tasks altogether

Not because you’re lazy or incapable, but because the workload already feels too heavy.

Your cup is officially 'full '.

Keyboard, diary and post it notes all around

Support Isn’t About 'Not Coping'

One of the biggest misconceptions around outsourcing or hiring support is that you have to reach breaking point before you’re ‘allowed’ to ask for help. But this is absolutely not the case.

Having additional support isn’t about failure, weakness, or not being capable enough. In fact, most women who seek support are already highly capable. They’ve simply reached the point where there’s too much to hold alone.

And support can look different from one person to the next.

Sometimes, it looks like finally clearing the inbox that’s been hanging over you like a black cloud for weeks.

Or it’s having somebody manage appointments, organise schedules, follow up tasks, or take care of the admin that quietly drains your time and energy every day.

Maybe it’s those dreaded, draining phone calls that nobody wants to make (hello government agencies) – you know the ones that leave you feeling like ‘you’ll never get that time back’.

Often support isn’t even about saving time. It’s about relieving the mental load.

Creating ‘space’ to:

Focus properly.
Think clearly.
Be more present at work and at home.
Stop feeling like you’re constantly catching up.

In the world of admin support, this can look like:

  • Inbox and diary management
  • Scheduling and appointments for work and family
  • Client communication
  • Admin organisation
  • Bookkeeping admin
  • Data entry
  • Document management
  • General business or family support

Not to take over your business (or your family life.)

But to help lighten the load, mental and otherwise, that comes with trying to manage everything at once.

When You’re Not Carrying Everything Alone

When some of the mental load starts to lift, something else quietly returns with it.

Clarity.

The ability to focus properly without constantly thinking about the next five or ten things that need doing.

The ability to be more present in your business, at home, and within your everyday life.

Because when your brain isn’t permanently juggling reminders, appointments, follow-ups, emails and endless mental checklists, everything starts to feel a little less heavy.

You stop feeling like you’re constantly behind.

You stop spending every evening trying to ‘catch up’.

And instead of simply managing each day, you finally have the space to actually experience it.

Support won’t remove every responsibility from your plate. I mean that would be a miracle, wouldn’t it? But it can help make life and business feel more manageable again.

Sometimes that breathing space can make all the difference.

If This Felt Familiar…

If you recognised yourself in parts of this blog, you’re certainly not alone.

For many women in business, the mental load builds gradually over time until constantly juggling everything simply becomes normal.

But normal doesn’t always mean sustainable.

That’s exactly why I created the Invisible Workload Checklist, a free resource designed to help you identify the tasks, pressures and mental load you may be carrying day to day across both business and home life.

Sometimes, simply seeing it all written down can be the first step towards creating a little more breathing space.

And if you’ve reached the point where you know you need support, I’d love to help lighten the load where I can.
